The use of SharePoint 2010 will help the university to cut training and maintenance costs, save time and effort and focus on higher business priorities.
Automate university processes, improve e- library service as documents can be retrieved quickly and are not lost or misplaced, enhance collaboration (documents can be shared with staff and students needing them)
Speed up decision-making since information regarding decisions to be made is routed electronically instead of manual hence improving students’ productivity. When student’s paperwork and tasks are routed electronically, less time will be spent filing and retrieving document.
The introduction of requesting and submitting extenuating circumstances as well as annual leave on the new portal site will free up office space since paper copies of documents do not have to be stored. The university will reduce the reliance upon printing and the distribution of paper (“paperless” office) hence reducing printing costs
This in a long run will decrease the carbon footprint; contribute positively towards the university’s sustainability commitment thus meet the university’s requirements for record management.
Groups of people example students, within the University will have to work collaboratively for committee agendas, minutes, projects proposals and charters etc. These information needs to be stored in documents where all the members of the group can find, use or update them. The introduction of SharePoint 2010 on the portal site will enable this to be done efficiently.
